Brand Book templates

The files people start from (decks, letterheads, email signatures, social and print files), each a file or a link with its versions, in the Brand Book beside the system they’re built from. Templates ship through releases, like pages.

What templates are

Templates are the ready-made files people need to stay on brand: the pitch deck, the letterhead, the email signature, social posts and print pieces. Each one is a file (stored by Stoaken) or a link to where it lives (Figma, Google, Canva, Dropbox or any https address), or both, with every version kept.

Open Book in the sidebar and choose Templates (beside The book and Pages). Each template is one slim card: its name, kind and who can read it (Everyone or Workspace only: press the chip to change it), what it’s for, its newest version (Download or Open in Figma) and, under All versions, the ones before. The ⋯ menu holds New version, Move up, Move down and Remove.

Adding and changing templates

Add a template asks for a name, a kind (Deck, Letterhead, Email signature, Social, Print or Other), a line on what it’s for, and either Upload a file or Add a link.

Files
PowerPoint, Keynote, PDF, Word, Illustrator, InDesign, Photoshop, ZIP, PNG, JPEG, SVG, HTML or ASE swatches, up to 100 MB each and 2 GB for a Brand. The file goes straight from your browser to storage; Stoaken then checks it is what its name says. The same file uploaded twice is stored once.
Links
https only. Stoaken keeps the link and its note, not the file behind it: a change made in Figma shows straight away, and isn’t reviewed.
New version
A new file or link for the same template, with a note on what changed. Keep the link too (or Keep the file too) carries the other part over. Versions are never changed or deleted.

Names, kinds and descriptions save by themselves a moment after you stop typing. To change the order, drag a card by its handle, or press Alt + ↑ / ↓ on the handle, or use the menu. Remove keeps a template under Removed, where Bring back returns it. If a save or upload fails, the screen says why, with Try again right there; nothing you typed is lost.

Editor
Adds templates, new versions, reorders and removes them.
Everyone
Reads the library and downloads the files.

Templates ship with releases

Nothing reaches readers until a release carries it. A strip says how many template changes are not released yet, with Propose a release. A release takes each template’s newest version.

Template changes are never breaking: a new or removed template is a minor version, a new version or an edit a patch. The release review lists each one: new and removed templates, a new file (its name and size, and what it was) and a changed link.

Who can read a template

Each template has Who can read it (the chip on its card, or the choice when you add it): Everyone who can read the book (the default) or Workspace only. A Workspace-only template (an internal deck, say) shows only to people signed in to this workspace, with a small Workspace only mark; its name and file never reach the book’s public or link page or Community. Its file is kept privately and downloaded through a link made for that person, which lasts an hour.

Placed on a page that everyone can read, a Workspace-only template shows on that page for signed-in members, in the same place with the Workspace only mark; everyone else reads the page without it. The page editor says so under the template, with the way forward: set the template to Everyone who can read the book, then release. On Light or Free the editor says templates come with Team, and the book leaves the template out of the page (kept, not deleted).

Like any change, it reaches readers with the next release; the review says what changes. Workspace only is part of the Team plan (and Enterprise), as templates are.

In the book and in pages

The book gets a Templates section in every layout (a card per template in Docs, Editorial and Chapters, a tile on Board, a short list in side columns and the Spec sheet); Customise layout places it like any other section. A page can show one template where it’s needed: insert Template from the page’s Insert menu. Downloads come straight from storage, and a public book’s templates are on its Community page too.

Plans

Templates are part of the Team plan (and Enterprise). Free and Light don’t include them; the Templates tab explains what they are, with Upgrade to Team and Compare plans.

Moving to a plan without templates never deletes any: every file and version is kept, the library can be read but not changed, and the book is rebuilt without them (readers see nothing about it). Owners and Admins see how many are hidden on the Book page. Moving back brings them back.
